Booking Conditions
The full terms that apply to every booking made through Villa Experts. By making a reservation, you agree to these conditions.
1. Definitions
Booking agent, Villa Experts: it's the booking agent that handles the booking process, the payments and maintains the communication between the renter and the accommodation provider.
Renter: the person named on the Reservation form who makes the booking.
Accommodation provider: the party who provides the booked accommodation, who carries out the booking by arranging the services at the destination locally, such as key-holding, cleaning, maintenance, etc.
Holiday homeowner: the owner of the accommodation or a company that acts as the representative of the accommodation owner.
2. Establishment of the booking contract
The booking contract is established at the moment the renter makes the booking request (via the Internet, by telephone, or by e-mail). By placing the booking the renter automatically agrees to the following Booking Terms & Conditions which together with the Reservation form make up the booking contract. The Reservation form is sent to the renter after the verification of the availability of the accommodation (within 24 hours of receiving the booking request). Changes to the Reservation form are only possible and valid if agreed by both parties in writing and confirmed by the booking agent.
3. Prices
Prices are stated in Euro per property per week or per day. We reserve the right to amend the booking price if occasioned by changes to owed levies, exchange rates, and taxes. Increases in these costs will be charged as a net amount without surcharges. We do not accept responsibility for typographical errors in the brochure or price list. If the increase occurs within three months of receipt of the booking form, the renter will have the right to dissolve the agreement. Amounts already paid will be refunded to the renter in such cases.
4. Duration of stay
The minimum stay is 7 days as a rule. Bookings in the low season can be accepted of various lengths above 7 nights, however, bookings in the high season (between June and September) are only accepted for whole weeks of 7, 14, 21, and 28 nights if not requested and confirmed otherwise by the booking agent. Please consult the booking agent with your request.
5. Payment
The deposit payment stated on the Reservation form (30% of the rental fee plus the booking fee) must be paid to the booking agent by the renter via bank transfer or secure online payment within 48 hours when the reservation is made. Only then will the reservation be confirmed.
The final payment stated on the Reservation form (70% of the rental fee, the eventual additional costs if not due on the spot) must be paid to the booking agent by the renter via bank transfer not later than the date indicated on the Reservation form (60 days before the start of the rental).
Bookings made within 60 days of the start of the rental: the rental fee, the booking fee, the eventual extra costs (if not due on the spot) must be paid to the rental agent by the renter in full at once, within 48 hours when the booking is made.
Deposits will be refunded only if the booking cannot be honored due to a cause attributable to the accommodation provider, holiday homeowner, or booking agent.
The booking contract will be dissolved (the booking will be canceled) if the renter fails to satisfy the payment terms. The deposit will be forfeited to defray incurred costs and damage, including but not confined to loss of profits.
6. Cancellation by the renter
Deposits and/or final payments are non-refundable. Cancellation requests must be in writing, via e-mail.
If the renter cancels the booking after the deposit payment has been paid, the booking agent will retain the deposit payment and the due final payment will be canceled.
If the renter cancels the booking after paying the final payment, the booking agent will retain the full payment.
7. Cancellation by the booking agent/accommodation provider/holiday homeowner
In the rare case that the booking can not be honored by the booking agent, by the accommodation provider, or by the owner of the holiday villa (for example the villa is damaged and it is not safe to accommodate the renter, or the villa is sold and/or the rental contract with the owner is terminated) the renter will be immediately refunded the payment(s) made.
If the booking can not take place due to circumstances of a pandemic or force majeure (such as war, strikes, and natural disasters) because at the time of the start of the rental the borders of the destination country are closed by the government and tourists are not allowed to enter, the renter is kindly requested to change the travel dates to when traveling to the region is possible again (usually within 12 months, price difference may apply) but no refund of payments is possible.
8. Insurance
The rent excludes insurance. The booking agent kindly advises the renter to close travel and/or cancellation insurance of their choice, in their home country.
9. Liability of the booking agent/accommodation provider/holiday homeowner
Under no circumstances will the holiday home owner, accommodation provider, or booking agent be responsible for any loss of value and/or damage to property of the renter and co-occupants caused by incorrect use of the rented property. If the renter incurs damage due to deficiencies in the rented property, any liability on the part of the holiday home owner, accommodation provider, and booking agent will be limited to the rent. They will not be liable for any other damage.
10. Liability of the renter
A renter who books accommodation for or jointly on behalf of other occupants will be jointly and severally liable for the total rent and damage caused by acts by them and all others present in the rented accommodation. During the stay, the renter is fully responsible for the accommodation, its interior, and all other items belonging to it. In case of damage, the renter will be charged the replacement or repair value, on the spot or via bank transfer if the invoice is presented after departure. If the replacement costs exceed the breakage deposit, the tenant pays the difference. If the renter refuses to settle the damage, legal proceedings may follow.
Between 22:00 and 08:00 the renter should respect the neighbours' rest and cause no trouble or noise. In case of extreme damage or severe inconvenience to neighbours, the accommodation provider and/or booking agent have the right to terminate the rental agreement with immediate effect and the renter must vacate immediately without any refund.
11. Number of persons
A booking is only valid for the number of persons stated on the Reservation form. It is strictly forbidden to occupy the property with more persons than confirmed. If more persons arrive than confirmed, access for the extra persons will be denied, or they may be required to vacate and the renter can be fined up to the full breakage deposit. Requests to increase the confirmed number must be submitted in writing before the rental period; the accommodation provider may refuse or require a surcharge.
12. Breakage deposit
Accommodation providers require a breakage deposit; the exact amount and payment method (bank transfer up to a week before arrival, or cash on arrival) is confirmed on the Reservation form. It is returned in cash on departure or by bank transfer no later than 8 days after the end of the rental. All breakage, loss, or damage must be reported immediately and paid for; costs exceeding the deposit must be settled immediately, in cash or via bank transfer after invoice.
13. Documents
Reservation form: at the time of booking, general information about the rented property is sent by e-mail.
Check-in Instructions: sent via e-mail with the exact address and further check-in/check-out information, after the final/full payment is received.
14. Arrival and departure
Usual check-in is between 16:00-20:00 and check-out between 8:00-10:00, confirmed with the Check-in Instructions after full payment. Inform the key holder of any arrival outside check-in hours; a fee may apply for handing over keys outside those hours. On departure, vacate before 10:00 and leave the accommodation clean and in its original condition; failure to do so may incur charges deducted from the breakage deposit.
15. Complaints
Report any deficiency to the accommodation provider immediately; they are expected to resolve issues within 24 hours. Unresolved serious complaints should be reported to the booking agent in writing, with a detailed description and photos, within two weeks of departure. Claims over cleanliness made more than 24 hours after arrival, or without photos, or later than two weeks after departure, are not accepted. Leaving the property prematurely without first consulting the booking agent forfeits all rights to a refund.
16. Cleaning costs
Final cleaning costs differ per property and are shown under "Additional costs" on the property page.
17. Bed linen & towels
The first set of bed linen and towels is almost always included, subject to the homeowner's policy; details are shown under "Key features" and/or "Additional costs".
18. Extra services & facilities
Extra services such as an extra bed, cot, highchair, or pool heating should be requested at the time of booking, or at the latest upon receiving the Check-in Instructions, otherwise availability cannot be guaranteed.
19. Swimming pools
Glass bottles and glasses are strictly forbidden in and around the pool; only plastic cups and cans are allowed, or a fine will be deducted from the breakage deposit. Throwing any item into the pool is strictly forbidden. Pools are serviced twice or more per week and are not supervised; use all facilities at your own risk. Non-swimmers and children under 12 may only enter accompanied and supervised at all times.
20. Satellite TV
Where descriptions mention satellite TV, this does not automatically include all stations in every language, but English channels are always included.
21. Water, electricity & energy consumption
Energy costs are included in the rental price for regular consumption by the confirmed number of guests. Use air-conditioning responsibly with doors and windows closed; excess consumption caused by irresponsible use may be charged to the renter afterward.
22. Pets
In general, accommodation owners do not wish to accommodate pets; details are shown under "Key features". Pets brought without prior confirmation will be denied access or asked to leave, and the renter may be fined up to the full breakage deposit.
23. Construction work
Villas advertised are private properties in residential areas, so nearby construction work may occasionally occur. Neither the booking agent nor the accommodation provider has any relationship with, or control over, third-party contractors, and cannot be held liable for related inconvenience.
24. Groups under 25 years
Villas are intended for responsible adults and families. Accommodation owners generally do not wish to host groups of guests under 25 and/or groups of the same sex. If the average age of an arriving group is below 25, access may be denied without refund. Where an exception applies, it is stated clearly in the property description.
25. Jurisdiction and law
Any dispute between the renter and the booking agent will be resolved by a court with jurisdiction in the country and region where Villa Experts is established. Every agreement is subject to European law.
